Privacy Policy
Effective October 17, 2026
Resolentra LLC is a Pennsylvania company. Resolentra helps employers track their staff's compliance documents, such as licenses, certifications, clearances and health screenings, and send renewal reminders by email and text message. In this policy, we call those employers "agencies." This policy explains what information we hold, why we hold it and how we protect it.
In short: we hold staff information on behalf of the agencies that use Resolentra. We never sell data, and we never use staff phone numbers or email addresses for marketing.
Who this policy covers
- Visitors to resolentra.com.
- Office staff at agencies who sign in to Resolentra.
- Agency employees who receive reminders and upload their documents.
We process data for the agency
Each agency decides which staff members and documents it tracks in Resolentra. The agency is responsible for that information and for having the right to give it to us. We hold and use it only on the agency's behalf, to provide the service the agency asked for.
If you work for an agency, your agency is the first place to go with questions about your information. You can also contact us at any time.
Employee records only
Resolentra is designed for employee compliance records, such as licenses, certifications, training records and health screenings required for work. Agencies must not upload patient or client records.
Information we hold
On behalf of each agency, we hold:
- Staff names and job roles.
- Staff contact details: mobile phone number and email address.
- The documents the agency tracks for each person, and their expiry dates.
- Copies of documents that staff upload.
- A record that the agency has recorded a staff member's consent to receive text messages.
- A history of changes, such as document uploads, review decisions, date changes and reminders sent, showing who made each change and when.
- The names and work email addresses of office staff who sign in.
How we use it
- To show the agency which documents are current, expiring soon or missing.
- To send renewal reminders by email and text message on the agency's behalf.
- To let staff upload renewed documents through a secure link.
We also use it to keep the service secure, provide support, handle billing and meet legal obligations. We do not use it for any other purpose.
Our website
resolentra.com does not use analytics, advertising or tracking cookies, and it does not set any cookies of its own.
- Hosting: the website is hosted by Amazon Web Services, which keeps standard server logs, such as IP address, browser type, pages requested and the time, to keep the site running and secure.
- Fonts: the website's fonts load from Google Fonts, so your browser connects to Google to fetch them.
- Demo bookings: the "Pick a time" button opens Calendly's website, where you book a demo. Calendly handles your booking details under its own privacy policy.
- Email: if you email us, we keep your message and email address so we can reply.
Text messages
- Resolentra sends these text messages on behalf of the employer (the agency), about the staff member's documents due for renewal. Messages are sent only after the agency records the staff member's consent.
- Message frequency varies. Usually no more than one message per day.
- Message and data rates may apply.
- Reply STOP to opt out at any time. Reply HELP for help.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
See our Text Message Terms for more detail.
Who we share information with
We never sell data. We share information only:
- With the agency the information belongs to.
- With the service providers that help us run Resolentra, such as Amazon Web Services for hosting and our email and text message delivery providers. They may use it only to provide those services to us.
- When the law requires it.
How we protect information
Resolentra stores data with Amazon Web Services in the United States. Data is encrypted, and each agency's data is kept separate, so an agency can see only its own staff and documents.
Authorized agency office users sign in to see their agency's records. Staff upload documents through secure, time-limited links that only allow uploading; the links never show or download any files. Reminder emails contain the staff member's first name, the name of the document due, its due date and a secure link. Text messages are kept general and do not name the document. Messages never include health results or document contents. Authorized Resolentra personnel may access an agency's information only when needed for support, security or maintenance.
No system is perfectly secure, but we work hard to protect the information entrusted to us.
How long we keep information
We keep an agency's information while the agency uses Resolentra, or longer where the law requires. When an agency stops using Resolentra, we return or delete its information as set out in its agreement with us. Backup copies are removed automatically within about 35 days.
Your choices
- Reply STOP to any text message to stop text reminders. Your agency may still remind you by email.
- To see, correct or delete your information, contact your agency or email us.
Children
Resolentra is a workplace tool for employers and their staff. It is not directed at children.
